Privacy Policy
SPEKTRUM Sync is a members-only community from SPEKTRUM Health. This policy explains what we keep when you use SPEKTRUM Sync, who can see it, and the choices you have. It’s separate from the SPEKTRUM Health website’s privacy policy.
The short version
- We never sell your information or use it for advertising.
- Your email address is never shown to other members.
- Your messages are private. Moderators only see messages when one is reported, and then just that message and the ones right before it.
- Poll votes are anonymous. Everyone sees the totals, never who chose what.
- You can delete your account, and what you’ve shared, anytime.
SPEKTRUM Sync and health care
- If you’re a SPEKTRUM Health patient, information from your care is protected separately. For questions about it, reach out to your SPEKTRUM provider or use the Patient Portal.
- Please only share the health details you’re comfortable with every member seeing, and never share someone else’s.
What we keep
- Your sign-in: the email address you chose when you joined and sign in with. Wix, which runs our sign-in, checks your password. We never store it.
- Your invitation: who invited you and when.
- Your profile: your display name, pronouns, bio, profile photo, banner, pride flags, and settings such as dark mode and read receipts.
- What you share: posts, photos, photo albums, comments, replies, reactions, amplifies, polls and your votes, events and your RSVPs, posts you save, and earlier versions of anything you edit.
- Link previews: when a post or message includes a web address, SPEKTRUM Sync’s server reads that page’s title, short description, and preview image once, and keeps a copy of the image (a picture that website already shows publicly, stored like photos in posts) to show a preview card. The website sees that request from SPEKTRUM Sync, not from you, and members’ devices don’t contact it unless someone opens the link.
- Your connections: your friends, friend requests, and anyone you’ve blocked.
- Your messages: the messages and photos you send and receive, reactions to messages, and when they were read (only if you both share read receipts).
- Notifications about activity involving you, reminders for events you’ve answered, and which kinds of notifications you’ve turned off.
- Problem reports: if you report a problem with the site, what you write, any screenshot you add, and the details listed in the report window: the page you were on, your type of device, browser, and screen size, the SPEKTRUM Sync version, and any error messages from the page.
- Community records: when you agreed to the Community Guidelines, and moderation records such as reports you make or that are made about you, reminders from moderators, and actions moderators take.
- Technical information: Wix, which hosts SPEKTRUM Sync, keeps what’s needed to run the site securely, such as the cookies that keep you signed in (for 30 days after your last visit, or until you sign out) and basic server records like IP addresses and when pages were visited.
Before a photo is uploaded, your phone or computer redraws it and removes hidden details, such as where the photo was taken.
Who can see what
- Other members see your profile (display name, pronouns, bio, photos, pride flags, and badges such as SPEKTRUM Staff, Nurse Practitioner, Therapist, or a community role) and what you post, comment, and react with. Members can find you by your display name in search.
- Friends-only posts and albums are seen only by your friends.
- Your email address is never shown to members. Super admins can see sign-in emails to manage accounts.
- Your friends list and saved posts are visible only to you.
- Poll votes are anonymous: no one, including the person who asked, sees how you voted. The site does record that you voted, so no one can vote twice.
- Event RSVPs: everyone sees the totals. Only the host sees who answered.
- Messages are between you and the person you’re messaging. If either of you reports a message, moderators see that message and up to 10 messages before it, so they can understand what happened.
- Reports: the person you report is never told who reported them. Moderators can see who made a report.
- Moderators and admins see what they need to keep the community safe: new members’ posts and comments waiting for review, reports, and a record of moderation actions.
- Problem reports about the site, and their screenshots, are seen only by admins and super admins (and by you).
- Photos in posts, albums, and on profiles are shown through Wix’s image service, so anyone with a photo’s direct link could open it. Photos in messages are stored privately and open only for the people in that conversation, and for moderators if a message is reported.
- Search engines are asked not to list SPEKTRUM Sync’s pages.
- Behind the scenes, the SPEKTRUM Health team members and volunteers who manage SPEKTRUM Sync can reach stored information through Wix when it’s needed to run, fix, or protect the site.
How we use it
- To run SPEKTRUM Sync: showing your profile and posts, and delivering your messages and notifications.
- To keep the community safe: reviewing new members’ first posts and comments, handling reports, and upholding the Community Guidelines.
- To fix problems and keep the site secure.
We don’t sell your information or use it for advertising.
Who we share it with
- Wix hosts SPEKTRUM Sync, stores its information, and runs sign-in for us.
- Givebutter, only if you choose to donate. They handle your donation under Givebutter’s Privacy Policy.
- When the law requires it, or when we believe someone is in immediate danger.
Otherwise, we don’t share your information with anyone.
Deleting what you’ve shared
- You can delete your posts and comments, remove photos, and unsend messages (which removes them for both people) anytime.
- Deleting your account, from Account settings, removes your profile, photos, albums, posts, comments, reactions, messages and conversations (for both people, with their reactions), friends, votes, RSVPs, notifications, problem reports, and invitation.
- We keep moderation records, such as reports (including any messages saved with a report) and the record of moderation actions, to keep the community safe.
- If you’re a SPEKTRUM Health patient, deleting your account doesn’t affect your care or your Patient Portal.
Your choices
- Change your display name, pronouns, bio, photos, and pride flags whenever you like on Edit profile.
- Share a post with your friends only, or turn off amplifying for it.
- Turn read receipts off, and choose which notifications you get, in Account settings.
- Block other members. They won’t see your posts or be able to message you. (Moderators, admins, and super admins can’t be blocked.)
- Delete anything you’ve shared, or your whole account.
Keeping it secure
SPEKTRUM Sync is invite-only. Community information is locked away and can only be reached through the site’s own checks, photos in messages are stored privately, and Wix handles passwords. No website is perfectly secure, so please use a strong password and don’t share your sign-in.
Age
SPEKTRUM Sync is for adults 18 and older. If we learn that someone under 18 has joined, we’ll remove their account.
Changes to this policy
If we change this policy, we’ll update it here, and we’ll let members know on SPEKTRUM Sync when something important changes.
